2316-19 Legal Case Management System East Riding of Yorkshire Council is seeking to procure a Legal Case Management System to effectively manage legal case work from inception through to completion. The system is required to replace the Council’s current case management system which is Lexis Visualfiles / SolCase provided by LexisNexis Enterprise Solutions. The Council requires the system to be hosted on the Council's premises ('on-premise') and, as a minimum, must include the following: • Consolidated view of cases and associated data and documentation • Overview on the position of a case • Integrated time recording function • Diary and email functionality that is able to integrate with Lotus Notes and Office 365 • Suite of workflow templates that can be tailored • Automatic setting of next process dates and reminder handling • Tracking of all correspondence (including emails and scanned images) • Alert mechanism for notification and escalation • Centralised contacts suite that links contacts to cases and documents • Audit trail of user activity within the application • Fully integrated document bundling component and ability to link to other bundling packages such as Caselines • Centralised bank of templates and precedents that can be uploaded and maintained by the Council’s Legal Services team • Suite of reports designed to support a local authority in-house legal department (to include reports by client, by matter, by activity, by date, by lawyer) The Supplier will also be required to migrate data from the Council’s current case management system to the new case management system. The full functionality required is set out in the tender documentation. The contract will be for an initial period of 36 months, 07 October 2019 to 06 October 2022, with the option to extend the contract by one further period of 24 months to 06 October 2024.
